Sharing a template with the world

Share a template you've written so any clinic can see it at its own web address — or add a template someone else has shared into your own library. Sharing publishes a checked snapshot, never anything from a patient or an appointment.

Publish a template

  1. Open your Templates library.
  2. Find the template you want to share — it has to be one you can actually edit (your own, or your clinic's; Rebrief's built-in templates can't be shared this way).
  3. Open the row's more menu.
  4. Choose Visibility, then select Everyone (some rows show a Share control that does the same thing).
  5. Rebrief checks the template's text before it publishes anything (see below). If the check passes, the row's Visibility now reads Everyone, and it offers Copy the public link — the address opens for anyone, signed in or not.

Tip: If sharing is refused, that's the privacy check doing its job, not a bug — see the next section.

What actually gets published

Sharing takes a snapshot, not a live link:

  • A copy of the template's text as it reads at that moment — or, for a scanned form, the blank fields it fills in, not any patient's filled-out copy.
  • Your name and your clinic's name, if you choose to show them.
  • Nothing else. No patient, no note, and nothing from an appointment ever goes into a shared template.

Because it's a snapshot, editing your working copy afterward doesn't change the public page — share again to publish an update.

The privacy check

Before anything is stored, Rebrief scans the template's text for anything that looks like patient information: a date, a phone number, an e-mail address, or a person's name written with a title (like "Mr." or "Dr.").

If it finds a match:

  • The share is refused.
  • Rebrief tells you which kind of information it found.
  • Nothing is stored — edit the template and try again.

Write placeholders like [Patient name] for the parts that would normally name someone. Placeholders read as ordinary text, not as patient information, so they pass the check and keep the template genuinely reusable.

Note: A freshly published page is also kept out of search engines for its first day, giving you a short window to unshare something you change your mind about before it's indexed anywhere.

Browsing and using what others have shared

Open Browse community from Templates to see templates other clinics have published, alongside Rebrief's own built-in templates.

Found one you want? Select Use this template. That copies it straight into your library as your own, editable template — the original is untouched, and if its author changes their copy later, yours doesn't change with it.

Taking a template back down

Open the same Visibility control on a shared template and switch it away from Everyone to unshare it. The public page comes down right away: the address stops working, and the template returns to your clinic's library. Copies other clinics already made through Use this template stay theirs — unsharing only removes the public page, not copies already made.

Rebrief can also take a published page down if it has to. That never touches your own copy of the template — only the public page goes away.

Note: You can only publish a template you're allowed to edit. Rebrief's built-in templates, and templates owned by a colleague that aren't yours to edit, can't be shared this way.
