Templates: notes, docs and forms
Every template your clinic writes from — clinical notes, letters and sheets, and PDF forms — now lives in one library, so you never have to remember which shelf something was filed on.
All your templates, one screen
Open Templates from the sidebar to see everything your clinic uses. Four tabs sit across the top — All, Notes, Docs, and Forms — each showing how many templates it holds.
Any template you've starred sits as a card at the top of the page, for quick access to the ones you reach for every day. Star (or unstar) a template from its card, or from its row in the table below.
The table itself lists every template with:
- Template — its name and kind
- Last edited — when the template itself was last changed
- Last used — the last time you picked it or wrote from it — not the last time anyone opened it just to edit it
- Created by — who made it
- Visible to — who can see it
Use the search box to find a template by name, or narrow the list with the Type, Created by, and Last used filters.
The three kinds of template
Note: each kind does a different job — pick the one that matches what you're producing.
- Note templates shape the clinical note your scribe writes during the appointment — the sections and structure your notes follow.
- Document templates are letters or sheets Rebrief writes for you: referral letters, post-op instructions, treatment estimates, and similar paperwork. You write them with
[blanks]Rebrief fills in and<instructions>it follows — for example[Patient name],[Tooth :: 14](a blank with a default value), or<summarise the findings>. - Form templates are PDFs your clinic already uses. Upload the blank form once, and Rebrief finds every blank on it. After that, filling it out for a patient is a single step.
Working with a row
Each row in the table has a star, a duplicate button, a share button, and a more menu with:
- Set as my default
- Visibility
- Delete
Created by
A template's Created by column reads You, a colleague's name, Your clinic, or Rebrief. Rebrief's own templates can't be edited directly — open one and you'll be offered a copy for your clinic instead, which you can then change freely.
Visible to
Visible to tells you who can see a template:
- Just me — only you
- Your clinic — everyone at your clinic
- Everyone — a public page anyone can find
Trigger phrases
Document and form templates each have a Trigger phrases field — one phrase per line, written in the words your team actually uses. When one of those phrases comes up during an appointment, Rebrief offers that document or form under + Create. It's a suggestion, never an automatic write — nothing is created until you pick it.
Adding a new template
Use + New template to start a Note, Document, or Form. Notes and documents each open in their own editor. A form works differently: it's read once, right after you upload it, on a screen where you confirm every blank Rebrief found and say what should go in it. Once you confirm, that form is never scanned again — filling it out afterwards is instant.
