Using Rebrief on more than one computer
You can use Rebrief on several computers in your clinic, such as one in each operatory. Each computer keeps a few things for itself, and they share the rest. Some parts need the Windows app, the Rebrief app that clinics install on a clinic computer to connect their practice software.
One appointment per computer
Each computer transcribes one appointment at a time, with its own mic. To start another appointment on the same computer, end the first one.
- If an appointment is transcribing and you select New Appointment, Rebrief opens that appointment instead. End it, then start the next one.
- If the appointment is stopped rather than ended, starting a new one ends it for you. Its note is finished as usual.
Opening another appointment while one is transcribing
You can open any other appointment while one is transcribing. The status at the top of its page then reads Transcribing elsewhere, with two buttons.
- Back to it opens the appointment that is transcribing.
- Transcribe here ends the other appointment and starts transcribing this one. The other note is finished as usual, and you can resume it later.
If the other appointment is stopped rather than ended, the status reads Another appointment open, with the same two buttons.
An appointment transcribing on another computer
Open an appointment that is transcribing on another computer, and its status names that computer, such as Transcribing on Operatory 2. There are no buttons here. To end it, use the computer that is transcribing it.
Naming a computer
Give each computer a name everyone will know, such as Operatory 2. The name shows in the list of clinic computers, on routines, and on each appointment transcribed there.
- On that computer, open Settings.
- Under Devices, choose This computer.
- Type the name in Computer name. It saves when you leave the field.
You can also rename any clinic computer from the computer list on Home. Point at its row and select Rename. Leave the name empty to go back to the computer's own name.
On a computer without the Windows app, the name is kept on that computer only.
Starting and ending appointments on their own
Each computer keeps its own Auto-start and Auto-end switches. They are in Settings, under Devices › This computer.
- Auto-start asks whether to start an appointment when people start talking near this computer and nothing is running. If nobody answers, it starts one after a minute. It uses the mic only to tell whether people are talking. Nothing is saved or sent until an appointment starts.
- Auto-end ends an appointment after a long quiet stretch, with a countdown first. Any word spoken cancels it.
Auto-start is on unless you switch it off. Switch it off on front desk computers. Each computer with the Windows app keeps its own auto-start.
To give every computer on your account the same setting, tick Use on all computers under the switch.
Choosing the computer that runs a task
For clinics that connect their practice software, Rebrief can do tasks in it on a clinic computer's screen. On Home, a small computer chip sits just above the prompt bar. It picks which clinic computer runs the tasks you ask for. Point at it to see Computer Rebrief should use.
Each computer in its list has a dot and a short line, such as Active or Asleep or offline.
- A green dot means it's awake and free.
- A yellow dot means someone is using it, it's transcribing, or it's running a task.
- A hollow grey dot means it's asleep, offline or not answering.
A computer shows up once Rebrief is open on it in the Windows app.
Choosing the computer that runs a routine
Each routine has an On computer row. Pick a computer, or Most idle computer, the clinic computer least in use when the routine runs. Run now uses the same choice.
Tasks never interrupt an appointment
A task or routine sent from somewhere else never starts on a computer that is transcribing an appointment.
- Sent to a named computer, it waits until the appointment there ends. Its card says so, such as "Waiting · Operatory 2 is in an appointment".
- Set to the most idle computer, it waits for a free one. Its card says "Waiting for a free computer".
If an appointment starts while such a task is running, the task stops at its next safe step. It starts again once the appointment ends.
A task you ask for on the computer you're using is different. It runs right away, even during an appointment.
What else each computer keeps
This computer in Settings also holds the apps Rebrief may use on that computer, and a sign-in for your practice software.
